How the funnel maths works

Every stage converts a share of the previous one. Reply rate is replies divided by candidates sourced, screen rate is screens divided by replies, and so on down to offer acceptance. Multiply them together and you get the overall yield ratio: hires divided by sourced. With 300 sourced and 3 hires the yield is 1%, or one hire per 100 sourced candidates.

The plan section runs the same numbers backwards. If you need 5 hires at a 1% yield, you need 500 sourced candidates, and proportionally more replies, screens, interviews and offers. That is the number to put in front of a hiring manager when they ask why a search takes time.

Reading the results

  • Low reply rate: targeting or outreach copy. Tighten the search and personalise the first message.
  • Low screen-to-interview rate: sourcing quality. The people replying are not the people the hiring manager wants; revisit the must-haves.
  • Low offer acceptance: compensation, speed or candidate experience. Fixing this stage is the cheapest way to lift the whole funnel.
